To support our Back Office, Pharma.Aero is looking for a part-time Consultant Administrative Assistant.

Job description –  Consultant Administrative Assistant (Back office support)

You will support the Back Office with different tasks such as:

  • Daily administrative support: handling incoming and outgoing e-mails and correspondence, agenda, setting up meetings, calls and events (all practical arrangements such as travel logistics, registrations, visuals, etc.), maintaining the filing system
  • Internal calls/meetings: planning, agenda, slides, meeting minutes, follow-up/reminder action points discussed
  • Administration for Masterclass: registrations, visuals, assisting the Steering Committee (main tasks except for finance)
  • Administration for General Assemblies and Members Dialogue (online or on site): slides, meeting minute, flights, hotels, conference rooms, etc.
  • External communication and Marketing: posting on website, Social Media, contact with press and creation of visuals
  • Take part in the weekly Back Office meetings
  • Internal Newsletters: gather required information according to deadlines
  • Assist in following-up on credit control
  • Depending on the needs of your team, you will be able to take up additional tasks such as: assisting in recruiting project experts and project managers for our projects, create reporting visuals for projects

The ideal Profile:

  • You hold preferably a bachelor’s degree in Secretariat/Office Management or equivalent by experience
  • You have an excellent knowledge of English (both written and spoken)
  • You have an excellent command of the MS Office: PowerPoint, Excel, Word, Outlook
  • You are a perfectionist in the execution of your tasks
  • You are flexible about the job content and your schedule (we are working with different time zones)
  • You have great organizational skills and are able to prioritize
  • You are flexible in changing circumstances
  • You can demonstrate maturity and autonomy in your work, and you are service & solution oriented

Practicalities and offer:

  • 100% remote job
  • Weekly meeting and report to the Back Office Consultant and the Secretary General
  • Consultant contract: yearly contract, time allocation equivalent to a half-time (5 half days Mon-Fri or based on the needs)
